Planning a green event doesn't have to be difficult

Congratulations. You’ve decided to make your event or conference more sustainable. Producing a green event is a great way to position your company as a good corporate citizen. And green need not mean expensive. In fact, going green can save you money.

The first question to decide is: “How green is your green?” In other words, how far do you want to go, how deep (green) is your commitment or capacity? Once that decision is made, you’re on your way to producing your first green event.

Steps to Producing a Green Event

  1. Decide the level of your commitment to green and align it with your company values and brand. Set event goals you can achieve and put them in writing. This written commitment will be a reference point as you move forward in your planning process.
  2. Carefully consider the location for your event. Look for a venue that is accessible by public transport and that practices green procedures in its operations and event hosting. If the venue doesn’t already purchase clean power, it is easy to switch to clean power for the duration of your event at a small additional cost.
  3. Consider purchasing Carbon Offsets to compensate for the environmental impact caused by any attendees and speakers arriving by air.
  4. Use FSC paper and an environmental printer to supply all of your print materials.
  5. Work with suppliers committed to supporting green events and ensure that commitment is specifically stated in your event contract
  6. Ask lots of questions throughout the planning process. At every decision making point in the production of your event ask “is there a greener way to do this?”
  7. Tell your attendees, suppliers and employees about your green event.
